Constitution of the Ashtead Chess Club

1. The club shall be known as the Ashtead Chess Club and the members thereof shall be bound by the following rules.

2. The principal objects of the club shall be to promote the knowledge and playing of chess through friendly club competition games and inter-club competitive matches; also other activities directed to this end.

3. The club shall meet in the Parish of Ashtead and its membership shall be open to persons residing therein and others in special cases. Admission shall be determined by the Committee.

4. The management of the club shall be vested in a Committee which shall be elected at the Annual General Meeting to be held in or about May on a date to be decided by the Committee. The Committee shall have power to appoint committees for special purposes.

5. At each Annual General Meeting the members shall elect for the forthcoming season as Officers of the Club, a President, Honorary Secretary, Honorary Treasurer, Match Captains and Tournament Secretary. They may further elect such Vice-Presidents as they think fit, who shall not ipso facto rank as officers of the club.

6. The Committee shall consist of up to twelve members of whom the Officers of the Club shall be members ex-officio, and the remaining member or members shall be elected at the Annual General Meeting. The Committee shall appoint a Chairman who shall have a second or casting vote. All Officers of the Club and other Committee members shall be eligible for re-election. A quorum of the Committee shall consist of four members.

7. The Committee may co-opt acting members, until the next Annual General Meeting to fill any casual vacancies in their number.

8. The amount of the annual subscription may be varied at any Annual General Meeting and shall be payable within six months thereafter, or date of joining if later. On a subscription being six months in arrears, the defaulter shall be liable to forfeiture of membership and rights pertaining thereto. The Committee shall have power to vary the subscription of an individual member in a special case.

9. The season shall commence on the third Tuesday of September.

10. The property and effects of the club shall vest in the Committee for the time being, as Trustees for all duly qualified members of the club; but no personal liability shall be held to attach to those officers for the safe custody thereof.

11. The Secretary shall call a Special General Meeting on written request by six members, or as required by the Committee. Members shall be given at least seven days written notice, with Agenda, of all General Meetings.

12. No resolution for the dissolution of the Club or any alterations of the Constitution shall be valid unless carried by a three fourths majority of members present and voting at the Annual General Meeting or any Special General Meeting. In the event of the Club being dissolved at such a Meeting, all assets remaining after the discharge of liabilities, shall be disposed of in such a manner as the Meeting shall decide.

13. In the event of any member being guilty of conduct which in the opinion of the Committee is inconsistent with his remaining a member, it shall have power to cancel his membership, subject to his right of appeal to the next General Meeting.

14. The Rules of Chess recognised by the club are those of the latest edition of F.I.D.E.

15. Rules for the conduct of the club may be made or amended at the Annual General Meeting, or Special General Meeting, called for that purpose.

16. An Auditor shall be appointed at each Annual General Meeting and shall act until the next Annual General Meeting. At each Annual General Meeting the Treasurer shall present an audited Statement of Accounts.
